We collect information you provide directly to us, including: name, email address, phone number, Social Security Number (for tax filing), financial documents (W-2s, 1099s, etc.), income and expense information, and any other information you submit through our portal or services.
We use your information to: prepare and file your tax returns, provide bookkeeping and tax planning services, authenticate your identity when you log in to the portal, send one-time verification codes via SMS or email, communicate with you about your return status, and comply with legal and regulatory obligations. We do not use your information for marketing via SMS. Text messages are limited to one-time verification codes sent only when you initiate a login.
When you provide your phone number and initiate a portal login, we send a one-time verification code via SMS. By entering your phone number and clicking "Continue," you consent to receive this transactional message. Message and data rates may apply. Message frequency: one message per login attempt. Reply STOP to any SMS message to opt out. Reply HELP for assistance. You can also use email verification as an alternative. We do not share your phone number with third parties for marketing purposes.
We protect your information using bank-level 256-bit TLS encryption for all data in transit, encrypted storage for all documents and sensitive data at rest, httpOnly secure session cookies (no tokens in URLs), rate-limited authentication with lockout protection, and regular security audits. Your Social Security Number and other sensitive data are encrypted before storage and are only decrypted when necessary for tax preparation.
We use AI systems to extract data from your uploaded documents and assist with tax analysis. Documents are processed through secure API connections to AI providers (Google Gemini, DeepSeek). These providers process data according to their enterprise terms and do not retain your information for training purposes. All AI outputs are reviewed by a licensed human professional before use.
We do not sell your personal information. We share your information only with: the IRS and state tax authorities (as required to file your returns), payment processors (Stripe, for invoice payment), communication providers (Twilio for SMS, SendGrid/Resend for email — limited to delivery of messages), and as required by law or legal process. All third-party providers are bound by their own privacy policies and data processing agreements.
We retain your tax documents and records for a minimum of 7 years as recommended by the IRS. Portal session data is retained for the duration of the active session and cleared upon logout or expiry. You may request deletion of your data at any time by contacting us, subject to our legal retention obligations.
You have the right to: access the personal information we hold about you, request correction of inaccurate information, request deletion of your information (subject to legal retention requirements), opt out of SMS communications by replying STOP, and receive a copy of your documents and tax returns at any time.
Our portal uses a single httpOnly session cookie for authentication. We do not use tracking cookies, advertising cookies, or third-party analytics cookies. The session cookie is automatically deleted when your session expires or when you log out.
Our services are not directed to individuals under 18. We do not knowingly collect personal information from children.
We may update this privacy policy from time to time. We will notify active clients of material changes via email. Continued use of our services after changes constitutes acceptance.
